The greatest added value of Signi is when it provides electronic meetings with persons outside your organization or non-users of internal systems - with customers, suppliers, partners or employees.
Signi's greatest added value - The company's internal information system takes care of the internal part of the processes, Signi ensures legal negotiations with the environment.
Is it worth using Signi to automate approvals and signatures within an organization?
The answer is "consultative" i.e. "it depends":
- 1. Yes, it makes sense to use Signi for the internal part of the process
- 2. It is better to combine Signi with something else
- 3. It is better to use something other than an e-signing service
1. Yes, it makes sense to use Signi for the internal part of the process
There is a signature scenario definition in Signi that is either entered in the Signi UI or passed through the API.
The people listed in the signature scenario can sign with different levels of signatures, approve or just be informed about the progress of the signing.
Signature scenarios may include people internal to the organization. They may or may not also be Signi users. Typically in HR, only the HR department and management are Signi users; employees receive anonymous links to sign documents just like customers or suppliers who are outside the company.
Examples of internal signature scenarios:
An example of a scenario where Signi ensures that first internally Roman Řípa approves and then the Big Boss signs. The document then goes to the other party for signature, where again multiple people can approve and sign, including the possibility of delegating the signature.
2. It is better to combine Signi with something else
In many cases, internal processes or workflows are complicated, they follow a complex organizational / signature matrix, there are complex queuing rules, they also control document preparation, there are other actions between process steps supported by internal systems, etc.
In that case it makes sense to use other systems to support the internal part of the process, typically a DMS system, an ERP / CRM / SCM system with workflow features , specialized superstructures on top of accounting, custom applications created in No-Code / Low-Code platforms that are integrated with Signi, which then only provide the external part of the process i.e. electronic legal actions between representatives of the organization and people outside it.
For various examples of interfacing, see Signi partner solutions. In this context, it makes sense to mention the difference between single-step and multi-step signing and full and partial signing, i.e. the different ways in which the interaction between Signi and the integrated application takes place.

3. It is better to use something other than an e-signing service
If the key business requirement is really ONLY internal signing or more often approval, using Signi may be unnecessary "overkill".
In this case, we recommend potential customers to use some DMS system, ERP/CRM/SCM system with workflow features, specialized add-ons on top of accounting, custom applications created in No-Code/Low-Code platforms including MS Sharepoint, etc. including Signi Partner solutions.
