The purpose of the audit sheet

Electronic signing brings one significant advantage. Unlike a handwritten signature on a paper document, a large amount of information about the handling of documents, including their signing, can be collected.

That is why, in the Signi service, an audit sheet is available for every document, capturing information about the signing process: when the signature took place, on what device, at which IP address — allowing the network affiliation of the employer to be determined and, to a certain extent, its geographic location — verification of the person with PIN confirmation from an SMS for the given phone number, information about the graphic execution of the signature, including the ability to retroactively prove its biometric course.

If needed, when using Signi, courts and supervisory authorities have access to a broad audit trail that significantly exceeds a handwritten signature on paper, which is often merely a fleeting initial on paper.

How to obtain the audit sheet

In the Documents folder, find the relevant document and display its preview by clicking on its name.

The document is shown in the preview, where, alongside the document itself, actions with the document are accessible. Select the Audit sheet option.

Example of audit sheet content

An example of the content of an audit sheet describing the course of handling the document in the controlled Signi environment. This is one of the supporting documents for a supervisory authority or a forensic expert when assessing the authenticity of the document and the signatures.

Any manipulation of the document outside the controlled Signi environment could be identified very easily. The content of the document and its so-called "hash" — analogous to the checksum of a birth number or a card number — would not match.

Explanatory text for the audit sheet

You can add your own "explanatory" text to the audit sheet. This is useful in cases where your legal / Compliance department or one of the supervisory authorities has specific requirements regarding the content of the documents' audit trail.

You can find the relevant field in the workspace settings, where in the Settings section you will find the Audit sheet text field.

Your text will then appear in the audit sheet for further concluded contracts.
