Document approval

Documents can also be sent without a signature in the form of an approval.

  • On the signature scenario page, select "Approves" for the person.

  • Email and SMS notifications will arrive to the user as standard, but instead of signing, the system will only prompt the user to approve the document simply with one click.

  • Therefore, there is no signature on the document for that party.

  • However, the approval, its time, the identification of the device, etc. are recorded in the control sheet and are available, for example, to internal or external audit, to an inspection body such as the FÚ or ÚP or to law enforcement authorities.


Tip: If you need the main document e.g. contract to be signed , but an attachment e.g. GTC or product sheet does not need to be signed, select Sign in the signature scenario, but select Delete signature when placing signatures on the attachment


Unlike internal approval systems, Signi can do one important thing.

After a document is approved or signed by the proponent's representatives, it sends the document or set of documents to the counterparties - customers, suppliers, employees, etc. - for approval or signature.
The closed document, approved or signed by all, is then distributed to all parties or automatically stored in their internal systems for further processing.


The basic use of the function consists of two steps:

  1. The author of a document in Signi lists someone in the Approves role in the signature scenario.

  2. The Approver who receives the document then approves or rejects it.
