Education - Less time with administration, more time with students

Modified on Mon, 17 Jun at 7:05 PM

Education, a vital area for our future. There are certainly many things to address, such as the voluminous administration that diverts attention, time and resources from the core mission of preparing our children as well as possible for the lives they will live. One way to reduce it is to computerise legal dealings with all stakeholders - guardians, students, teachers, principals and contractors.

What Signi is used for in education

You can use Signi in the education sector to electronically sign documents such as the following:

  • HR negotiations with employees and external collaborators
  • Contracts and other documents with suppliers or principals
  • Confirmation of studies, application for boarding, consent to participate in ski and other courses, outdoor schools, trips and other events organized by the school
  • Decisions on admission, deferment, transfer, individual education, release, communications, invitations.

5 scenarios of electronic legal proceedings in education in the Czech Republic

  1. PUBLIC SCHOOL - Decisions on admission, deferment, transfer, individual education, release, communications, invitations. But also any other documents. As part of the public administration, they must always electronically sign in a qualified manner.
  2. PRIVATE SCHOOL AND DOCUMENT RELATING TO SCHOOL AUTHORITY - If acting "in a position of authority" i.e. acting in an administrative capacity and making a decision relating directly to the education of a pupil at the school in the narrowest sense regulated by the Education Act or other legislation, sign, similarly to a public school, in a qualified manner.
  3. PRIVATE SCHOOL AND NON-PUBLIC SCHOOL DOCUMENT - Acknowledgements (e.g., certificates of attendance), negotiations between the school and vendors, in HR relations, or relating to copyright. Signed simply, guaranteed, acknowledged or qualified.
  4. LEGAL REPRESENTATIVE / STUDENT / THIRD PERSON and DOCUMENT RELATING TO THE SCHOOL e.g. application for admission, education contract, transfer request. Signed (so far) in a recognised or qualified manner.
  5. LEGAL GUARDIAN / STUDENT / THIRD PERSON and DOCUMENT NOT BELONGING TO THE SCHOOL e.g. application for boarding, consent to attend an outdoor school, consent to GDPR, consent for photographs to be taken; also contracts with suppliers. It is signed simply, guaranteed, acknowledged or qualified.

FREE service for your guardians, teachers or suppliers

By being a cloud-based service that allows anyone in the world to sign, Signi brings one side effect. In order for anyone to sign a document designed to be signed in Signi, they do not need to have a Signi account. He or she gets an email, clicks through a unique anonymous link in the email, and once authenticated, can start signing.

However, once he has set up an account on Signi, all documents that someone sends him to sign are clearly available in Signi. And it's also neatly arranged in "Waiting for my signature / Waiting for counterparties' signature / Closed documents", including the ability to organize the documents into folders or labels with any number of tags that can be used to search the documents. And all this for FREE.

Tips for deploying Signi in your school

  1. Start with a non-pupil agenda first
    • For example, work agreements with freelancers, complete HR agenda, supplier contracts and orders, etc.
    • This will give your internal team an experience of what e-signing entails
  2. Start with one pilot class of "early adopters"
    • Start signing in a classroom where the classroom teacher is receptive to innovation and has found a similar innovator among parents that other parents will "give"
    • Parent will help the adoption among others, it will not be a "school-forced" thing, will know the problems on the other side, will help to formulate messages about e-signing "It's really a good thing" to the next class
  3. Always leave a plan "P"
    • Not everyone has a smart phone, not everyone has the desire or space and energy to learn new things right now
    • Always leave the option to sign things on paper
  4. Or go big and be prepared
    • Roll out the project across all classes, but prepare it properly i.e. nominate a clear ambassador, test e-signing with all teachers, prepare guidelines for parents, communicate the project in person at class meetings where questions, objections, complaints can be raised and again, leave a plan "P"!
