Benefits of electronic signatures

  1. Speeding up business processes: by reducing all agreement times, the flow of money into the company is accelerated

  2. Reduced costs: costs associated with printing, scanning and archiving paper documents are eliminated

  3. Increased productivity: teams focus on key activities and don't spend time on administration

Examples of documents for electronic signing

  • SALES - order, framework contract, purchase, lease, reservation, work, cooperation, price list, terms and conditions - GTC, confidentiality agreement - NDA, personal data processing - GDPR, declaration of origin of funds - AML, affidavit, power of attorney, code of ethics, etc.

  • DELIVERY - statement of work, handover report, service report, vehicle handover report, home inspection, inspection, delivery note, purchase order, credit note, etc.

  • HR - Formal offer of employment, work performance agreement, "pink" tax declaration, contract for use of company vehicle, receipt of work equipment, employee familiarisation with regulations, attendance sheets for training, material liability, payroll deductions.

Note: the employment contract, pay slip, termination notice, credit slip, etc. are still regulated by the Labour Code , but they can be signed electronically on one device at the workplace, then they do not need to be delivered.

The area of electronic signing is governed by the EU eIDAS Directive, which significantly simplifies the conclusion of common commercial agreements outside the public administration.

How does it work

  1. The QI will prepare supporting documents and information about the signatories.
  2. Signi will sign the documents - different scenarios can be selected.
  3. Signed documents or data on the status and result of signing are automatically uploaded back to the QI, so that further steps can be performed immediately.

QI Information System

  • COMPREHENSIVE INFORMATION SYSTEM FOR COMPANIES OF ALL SIZES: ERP + CRM, DMS, APS, BI, HRM, e-shop, attendance, mobile applications... QI consists of more than 30 modules, so you can find all agendas in one system.
  • STABLE PRODUCT BACKGROUND: QI is developed by QI GROUP, a Czech company with more than 20 years of experience and 1,400 implementations in various fields. Since 2004, the product has also been offered on the Slovak market.
  • COOPERATING PARTNER NETWORK: cooperation and shared know-how between nearly 40 specialized implementation and development partners brings maximum benefit to the customer.

Key benefits of QI

Elasticity: if your business is growing, QI can replicate that growth. It will adapt in terms of the range of functionality and the number of user licenses (and therefore price).

Flexibility: The creation and introduction of completely new applications is also possible.

Always up-to-date Czech and Slovak legislation: Changes in laws are closely monitored by the manufacturer and immediately transferred to the system, where they are linked to the related processes.

Versatility: the QI operates on the basis of SOA (Service Oriented Architecture) and therefore offers a wide range of possibilities for communication with various entities - for example, authorities, business partners, suppliers, customers or banks. Interaction is facilitated, for example, by the QI Mobile module, which allows access to QI from any smart device.

Connecting to Signi

The link will allow fully automated processes to ensure legally verifiable consent to any documents from customers, suppliers or prospective employees. All this in an online environment.

You can work with any documents stored in the information system, just select one in particular. Further administration is handled by QI, which takes the original data from the document and automatically involves the signatories in the process. After your review and any additions or modifications by the participants, an email will be sent to all concerned with access to the relevant document in the Signi web application. You can secure your signature either with a touch pen, mouse or touchpad, or by inserting a scanned signature. If two-factor authentication has been chosen, you still need to insert a PIN code, which arrives on your mobile phone at the moment of signature. Other options include the use of a bank identity or digital certificate. All participants are informed of the progress or completion of the process by notification emails.
