Preparation

  • A record of all participants in all training courses is kept in Signi in the Contacts record
  • Contacts can also be re-imported from another source and inserted and edited manually directly in Signi - e.g. not waiting for incoming.

  • Contacts can be assigned to any number of groups = e.g. to individual trainings


Record attendance at various training sessions by assigning a contact to a group.


Signing scenario

  • Participants sign the document "Acknowledgement / certificate of participation in training" - on the spot or from the invitation to sign sent by email and SMS 

  • The signed document serves multiple purposes 

    1. The trainer keeps a list of participants for each training session in their system. He can either approve or sign the "training certificate" himself.

    2. The training orderer, e.g. an HR specialist, again has a record of all the participants of the training courses ordered by him/her In the signature scenario, he/she is listed in the "TO NOTE" role. The internal training orderer can have access to the workspace where the document is being drafted i.e. he acts as a drafter and keeps a record of the training there.

      The external training orderer does not need to have access to the workspace, it is listed in the role of counterparty. However, if he creates a Signi squad, he will have all documents sent for signature accessible in his workspace see Signi as Signature Portal.

    3. The trainee has a confirmation of his/her participation in the training. He can sign , to confirm his attendance on site. He/she can also sign on the trainer's computer to guarantee that he/she was physically present.

    4. The audit authority, e.g. the UO or the insurance company, has a document Confirmation of attendance at training with a broad audit trail.
