Among other things, in order for the statutory officers to be able to prove in the event of a lawsuit that they acted with due care, someone from the company must often comment on the document or approve it before signing it. In the paper world, the so-called shirt or cover sheet is used for this purpose.


In the electronic version, something like this can arise automatically. Just indicate the expressing in the signature script for the document. This will be a representative or an employee of the proposer, i.e. a Signi user with access to the workspace / workspace where the document was proposed in the "Approves" role. The signature scenario header also has a check mark for "order depends" i.e. it is clear that it will first go through approval and then only sign.


As opposed to internal systems that allow the same thing, Signi can do one more thing. After the document is signed by the proponent's representatives, it sends the document or set of documents to the counterparties - customers, suppliers, employees, etc. for signing. 

It then sends the closed document, signed by all, to all parties or automatically stores it in their internal systems for further processing.

In this context, the role of the To note in the signature scenario is also interesting. That is, someone who, while not commenting on the document, is quite interested in the state of the signing. For example, a salesperson who is about to sign a document to close a deal needed to pay quarterly bonuses or an internal HR business customer who is anxiously waiting for a new member of their team to sign all onboarding documents.


We automatically create a Basket or Cover Sheet from the comments of all the commenters, which are then available to the signer on behalf of the document drafter.


The use of Signi for the internal wheel is just one possible solution in corporate IT architectures. In larger companies, the more common solution is that the internal approval wheel is provided by the internal company system - DMS, ERP, etc. and they then just forward the Signi internally approved document for legally binding signature either also to the proponent's representatives or to the counterparties - customers, suppliers or employees. There are a number of such systems integrated with Signi, and we are happy to add more. In these scenarios, the shirt/cover sheet is then supplied by the integrated system and Signi will only make it available to the proponents' representatives.


Would it be possible to have paper draft documents sent to the company, for example to the mailroom, buyers or salespeople, circulated in this way? We can cope with this as well. Not everyone is ready to digitise right away and so option "P" must be available.
