HR - Necessities - Signing internal directives e.g. for GDPR, ISO 27000 etc.

Progress

  • In many cases it is necessary to be able to prove to the control or audit bodies that employees have been made aware of something. For this, a simple reconciliation or approval with an audit trail is sufficient for the recipient.

  • Conversely, in the most careful implementation, both the employer's representative and the employee sign.

  • The Bulk distribution function from the templates is used to send out for signature.

  • If the wording of the document is to be the same for all recipients, there is no need to import the data for the document to the contacts, just pre-populate it before sending the template.

  • If the wording of the document should be different, e.g. for individual departments, the texts of the individual fields can be filled in the import file with emails, imported to the contacts as data for the current distribution of the internal directive and the bulk distribution can be started. In this case, the data will not be filled in the template

The data for the template was not found for the contacts i.e. it is suggested to fill in the data in the template BEFORE sending it for signature.

Signature scenarios

Employee approves only - A variant of the templates without signatures is selected. Depends on the order. Author of draft document approves, employee approves.

A signature scenario where the author of the draft document (automatically) and the employee approve.

Employee Approval.

Employer's representative and employee sign - A template option with both the claimant's and counterparty's signature is selected. Depends on the order. The drafter signs the document, the employee signs. If ours is set for automatic signature insertion, the drafter signs the document.
