Service - Backoffice proposes handover protocols, service technicians sign them with customers on site

  • The company's back office schedules the service technicians by creating service logs in Signi in the In Progress state.

  • Service technicians use Signi as their de facto work queue - for example, service sheets are sorted in their workspace according to the route plan or order of visits.

  • At the customer's site, the service technician then completes the relevant service sheet, sends it to the customer for signature and signs it on one device - his mobile phone or tablet.

  • After signing, both the customer and the back office receive the service sheet in the signing email.

Signing scenario

  • The back office team designs the service sheets in Signi either manually or through integration with the back office system.

  • Either each service technician or tablet in the field has its own workspace or they all share one, only they have possibly set "see only their documents and contacts" so they don't "get in each other's way".

  • In the signature scenario, the signature is set on one device so that the service technician and customer can sign at the same time. In the scenario, the service technician is listed in the role of approve (it's faster, just clicks a button) or sign (signature page is called up), the customer always signs.

  • The technician's device is used the customer is just sent a text message to his mobile to verify his number, but it doesn't have to be smart, just a regular one with SMS reception will do.

  • Sending a closed document in addition to the technician's email to the mail pool can be set in the workspace settings.


Attention!!! Signi can't share work-in-progress documents yet. As a workaround it is now necessary for backoffice and service technicians to share one account.


The customer is Roman Řípa at Prague 6 serviced in order 210001, the service technician is Captain Demo, here it is set for speed that only the customer approves and signs the document.
